Aha! Builder

Aha! Builder brings every application your team builds into one place. The Overview page lists them all — prototypes you are still shaping, applications in development, and everything you have deployed. As that list grows, folders and tags keep it easy to scan so you can find what you need quickly.

Overview page

Navigate to All applications -> Overview to see the applications you have access to. Each application shows its name, description, status, and tags.

  • Switch between Tiles and List to change the layout. Tiles show each application as a card. List shows a sortable table that adds the launch date, last active date, and created date.

  • Filter by status to focus on where applications are in their lifecycle: Planning, Developing, or Deployed.

  • Filter by Application tags, or search by name, to narrow a long list.

  • Click Create to open the creation wizard and start a new application.

  • Click an application's More options button to duplicate or delete it.

The Governance tab sits next to Overview and gives administrators account-wide control over what applications are allowed to do. Governance is included in the Aha! Builder Team and Scale plans and requires the governance administrator role.

Group applications in folders

Folders group applications into a structure you can browse. Use folders when your account has enough applications that a single list is hard to scan — one folder per team, per department, or per stage of work.

Folders appear above your applications in both the tile and list views. Each folder shows the number of applications it contains.

Folders are visible to everyone who can see the Overview page, and they do not change who can open an application. Access is still granted per application.

  • Click New folder in the toolbar, enter a name, then click Create folder.

  • Move an application into a folder from the application's More options button, then select Move to folder and choose the folder.

  • Click a folder to open it and see what is inside. A folder can hold applications and other folders, and the breadcrumb at the top of the page takes you back.

  • Rename a folder by clicking its name to edit it inline, or select Rename from the folder's More options button.

  • Move a folder into another folder with Move to folder from the same menu.

  • Delete a folder by selecting Delete from its More options button, then confirming.

Deleting a folder never deletes the applications inside it. Those applications move back to the parent folder, or to the top level of the Overview page.

Tags

Tags are labels you can add to applications in Aha! Builder. They make it easier to organize information visually and find related applications.

Your team might use tags to identify an application's type, ownership, stage, or another category that matters in your workspace. You can add more than one tag to an application. This ensures a single application can appear in multiple groups without changing your application structure.

Use short, specific tag names so the team can scan and apply them consistently.

Create tags

Account customization administrators can create tags for your Aha! account.

  • Navigate to User menu -> Settings -> Account -> Customizations -> Tags.

  • Select Add tag.

  • Enter a name in the Tag field and choose a color.

  • Select Create tag or Create tag + add another.

Choose names that are easy to understand at a glance. Short, descriptive tags are usually the easiest for the team to use over time.

Manage tags

You can update tags as your workspace changes. For example, you might rename a tag, change its color, merge similar tags, or delete tags you no longer need.

To manage tags:

  • Navigate to User menu -> Settings -> Account -> Customizations -> Tags.

  • Select the tags you want to update.

  • Select Bulk edit.

  • Choose the update you want to make.

Use Merge into when you want to combine similar tags under one shared label. This replaces the selected tags everywhere they are used.

Add tags to applications

Application owners can add tags to applications.

  • Open an application.

  • Find the Tags field.

  • Start typing to search for an existing tag.

  • Select the tag you want to add.

You can add multiple tags to the same application. This is useful when an application fits more than one category.

Filter applications by tag

Tags are most useful when you use them to narrow your list of applications.

Filter by tag to find applications by category, ownership, stage, or another label your team uses. This helps you focus on the right set of applications without scanning the full workspace.
