Create documents from templates with Elle

Your account holds a library of document templates — standard formats from Aha! and custom templates your team has saved — that keep specs, reviews, and reports consistent. Elle, the AI assistant, can follow one of those templates when it generates content, so you get a structured, on-format draft without recreating the layout in your prompt. Name the template you want, and Elle applies its sections and structure to the document it writes.

Overview

Elle turns a saved template into the blueprint for a new document or note. When you name a template in your prompt, Elle matches it to one you can access and builds its output from that structure, so the draft arrives in the format your team already relies on.

Elle can:

  • Match the template you name in your prompt to a document template you have access to.

  • Follow the structure and sections of that template when generating a document or note.

  • Fill each section with content drawn from your prompt and any records or context you reference.

  • Offer an alternative when it cannot find a template that matches your request.

Elle applies a template only when you name one, and it uses only the templates your permissions and your account's AI settings allow. Like other AI features, Elle runs on AI credits.

Prompt Elle with a template

You can ask Elle to use a template anywhere you write in Aha! software.

  • Open Elle from the Elle icon in the top navigation bar, or from the Writing agent in the text editor toolbar.

  • Ask Elle to generate a document or note, and name the template you want it to follow.

    • For example: "Fill out the competitor analysis template to compare Jira and Asana."

  • Elle applies the structure and sections of that template to the content it generates.

  • Review the draft and edit it as needed before you save.

Available templates

Elle can work from either the standard templates that ship with Aha! software or the custom templates saved in your account.

  • Standard templates: The document templates in the Aha! template library.

  • Custom document templates: Templates saved by you or by a workspace owner in two places:

    • Workspace document templates, at User menu -> Settings -> Workspace -> Document templates.

    • Personal document templates, at User menu -> Settings -> Personal -> Document templates.

Elle matches your prompt to a template by name, so it helps to name the template as it appears in your library.

When Elle cannot find a template

If Elle cannot find a template that matches your prompt, it tells you so and offers two ways to continue:

  • Generate the content without a template.

  • List the templates available in the current workspace, so you can choose one and try again.

Manage template access

Elle can only use templates you have access to yourself. Its access is bounded by your own permissions and by the AI controls administrators set for the account.

Administrators control this access in your account's AI controls.

  • Navigate to User menu -> Settings -> Account -> AI controls.

  • In the Elle (AI assistant) record type access section, use the Allowed record types field to choose which record types Elle can read. Leave every box unchecked to grant access to all record types.

  • In the Elle (AI assistant) workspace access section, use the Allowed workspaces field to limit which workspaces Elle can access. When none are selected, Elle can access every workspace your permissions allow.

When a template falls outside your access, Elle leaves it out and, if no other template matches, offers to continue without one.

Best practices

A clear prompt helps Elle produce a draft that is ready to refine. Try these guidelines:

  • Name the template exactly as it appears in your document templates library so Elle matches it on the first try.

  • Give Elle the source material for the document — the records, notes, or details each section should draw from — in the same prompt.

  • Save the formats your team uses often as custom document templates, so they are ready for Elle whenever you need them.

  • Review and edit the generated draft before you save or share it, especially for documents that others will rely on.
