Your knowledge base visitors depend on you to provide current information. That is why efficient knowledge base management is so important. Report on your knowledge base to audit content, track publishing status across documents, publish knowledge base in bulk, and more — so you can provide consistent, up-to-date information to knowledge base visitors.
First, build a report based on the data you want to see.
Navigate to Roadmaps -> Overview and click Create report.
-
In the report modal, choose Start with record type. Then choose a record type:
Choose Documents with workspaces if you want to base your report on documents that are included knowledge bases. Then you can add knowledge base and knowledge base publish event fields to your report.
Choose Knowledge bases to report on details about knowledge bases in your account.
Choose Knowledge base publishing events to audit published updates to your knowledge bases.
Select any Document, Knowledge base, or Knowledge base publish events fields that you want to include in your report. Then click Next.
Choose a report type. You can report on knowledge bases in list reports, pivot tables, and charts, but not in roadmaps or relationship report types.
Add filters to narrow in on data you want to see in your report.
Click Create report.
After you have built your report, you can add additional fields to columns or cells as needed. Here are a few useful fields for reporting on knowledge bases and knowledge base documents:
Add the Document parent field to report on a document's parent document or folder.
Add the Knowledge base authentication method field to report to see how each knowledge base is accessed.
Add the Knowledge base publish event -> Event type, Event occurred at and User fields to a report to see when documents were last published or unpublished and by whom.
Filter a report of documents by Knowledge base name to see all of that knowledge base's documents.
Filter a report of documents by Document publishing status to see all knowledge base documents with unpublished changes.
Need to publish a lot of updates at once? You can bulk publish documents from a list report.
