Workspace-level settings affect a particular workspace or workspace line in your Aha! account. This article will explain each workspace setting. Open your workspace settings by navigating to User menu -> Settings -> Workspace.

Document access

All users with reviewer permissions for a workspace can view that workspace's whiteboards. Here, you can configure whether reviewers can also edit those whiteboards.

  • Select View if you only want to allow reviewers to view whiteboards.

  • Select Edit to allow reviewers to edit workspace whiteboards. Click Update workspace configuration to save your changes.

Once your changes are saved, document access settings will be applied to all whiteboards in your workspace. You can change access settings for reviewers on individual whiteboards without changing them for all users. To change reviewer access on a single document, open its Share menu and use the dropdown next to Reviewers to select Edit or View.

Users

The Users page allows you to manage users in your Aha! Discovery workspace. If you have owner permissions, you can remove and change permissions for users. If you are an administrator with billing permissions, you can delete users and manage them at an account level in account settings.

Viewers, reviewers, and contributors in Aha! Discovery can access only the Users page in workspace settings. They are not able to see or change any other workspace settings.

You can also add users to your account from this page, if one of the following scenarios is true:

  • You are an administrator with billing permissions.

  • You are a workspace owner for your current workspace, there are paid seats available for your Aha! account.

On the Users page:

  • Click the user's name to Edit their permissions.

  • Check or uncheck the Send box by in the Weekly summary email column to adjust the user's weekly summary email notifications.

  • Mouse-hover over a user's row and click Remove user from workspace in the Actions column to remove the user from your workspace. Remember, only administrators can remove the user from your account.

AI prompts

Create custom prompts that tailor the Aha! AI assistant to your team's workflows. Use them to standardize outputs, automate complex tasks, and ensure consistent results. Custom prompts are added to the Workspace section of the AI library.

Click the More options menu and Delete to remove any existing custom prompts.

AI requests

Create custom requests that tell the AI assistant what you want it to do.

  • Click Add and select Request.

  • Name your prompt and describe it in the Prompt field.

    • Note: The AI assistant will help you create or refine your request. Click the sparkle button to get its input.

  • (Optional) Select Favorite to add the request to the AI assistant and AI library's Favorites menu.

  • Click Add request to create your custom request.

Click the More options menu and Delete to remove any existing custom request.

AI instructions

Create custom instructions that tailor the Aha! AI assistant to your team's workflows. Use them to standardize outputs, automate complex tasks, and ensure consistent results.

  • Click Add and select Instruction.

  • Name your prompt and describe it in the Prompt field.

    • Note: The AI assistant will help you create or refine your instruction. Click the sparkle button to get its input.

  • (Optional) Select Favorite to add the instruction to the AI assistant and AI library's Favorites menu.

  • Click Add instruction to create your custom request.

AI agents

Create a custom agent to automate complex tasks that the standard AI assistant is not structured for.

  • Click Add and select Agent.

  • Name your agent and describe it in the Prompt field.

    • Note: The AI assistant will help you create or refine your agent. Click the sparkle button to get its input.

  • Choose Capabilities. These are actions the agents can take.

  • (Optional) Select Favorite to add the agent to the AI assistant and AI library's Favorites menu.

  • Click Add agent to create your custom request.
