Everything goes more smoothly when all the information you need is easily within reach. But when you have a large product development team or organization, important documents often end up dispersed across various systems. Centralize this information by importing view-only files (like legal forms, contracts, product one-pagers, and marketing collateral) directly into your workspace — so they are easy to find whenever you need them.

Overview

Workspace owners can import PDF files directly into your workspace documents to centralize all your product documentation.

You cannot edit PDF files after importing them. But like other documents in your workspace, they include the same standard Overview, Related, Comments, To-dos, and History tabs that are configured in your documents layout. This means you can add them to collections, tag them, add to-dos, and include them in documentation workflows.

Imported PDF files will be listed in your document hierarchy just like any other workspace document. Drag and drop a PDF to move it wherever you need to.

Whether you view a PDF from within your workspace or a published knowledge base (available in Aha! Knowledge Advanced), it will open in a standard PDF viewer. From here, users can scroll through its pages, download it, or print it.

Import PDF files

Import a single file

Import a single PDF directly into your workspace.

  • Click Add and select Link or file.

  • Next to Type, click PDF.

  • Use the Upload file section to drag and drop your PDF or choose a file from your computer. Then, click Add file.

Import in bulk

You can import PDF files in bulk from your workspace settings:

  • Navigate to Settings ⚙️ -> Workspace -> Import documents.

  • Select PDF.

  • Add a PDF file from your computer to the Upload file section and click Add file.

You will find the folder in your workspace documents after the import is complete, labeled with the original folder name.
