The AI assistant (and many associated AI capabilities in Aha! software) run on credits. For example: If AI is enabled in an account, credits are used each time someone uses the AI assistant. Administrators can monitor usage in their account settings to see how the team is adopting AI and track broader adoption trends as AI becomes part of daily workflows. They can also set usage limits.

AI credits per Aha! plan
All paid Aha! software accounts include AI credits as of October 22, 2025. The total amount is determined at the account level based on your plan and number of paid seats. If your account uses multiple Aha! products, the plan with the most credits included is used for each seat when calculating the total.
By default, AI credits are pooled at the account level and available to all paid users. You can set per-user limits if needed.
Note: Reviewers and viewers (available in the Aha! Roadmaps Enterprise and Enterprise+ plans) are not paid seats and cannot prompt the AI assistant. That means that they also cannot use AI credits.
Every chat interaction with the AI assistant or use of AI capabilities will consume some of your account's credits. This pool automatically refreshes at the start of each billing period. If you run out of credits before the end of the billing period, you can purchase more credits. Purchased credits do not expire for active accounts.

Note: The number of credits per plan per user is subject to change in the future.
For paying customers who signed up prior to October 22, 2025, included AI credits are prorated for the remainder of your current billing period. For example, if you are on an annual plan with four months left until renewal, your account will receive a prorated amount of credits for those four months. The full credit allocation for the next period becomes available upon renewal.
Which features use AI credits?
The following capabilities use credits from your account's shared pool:
AI assistant: Each chat interaction and other AI-powered actions you trigger in Aha! products use credits. The number of credits used depends on the request's size and complexity.
Meeting transcription (available in Aha! Discovery): Processing meeting audio or video to generate a transcript in Aha! Discovery consumes credits.
Knowledge base translation (available in Aha! Knowledge): If enabled, your knowledge base will use AI to translate its navigation and articles for visitors, which consumes credits.
Additional AI capabilities may use credits in the future. If so, this will be clearly communicated in our documentation.
Approximate credit cost for common AI prompts
Every chat interaction with the AI assistant or use of AI capabilities will deduct credits from your account's shared pool. The number of credits used depends on the size and complexity of your request. Long or detailed instructions, multiple PDFs or images, or large pasted text will require more processing. Each prompt is unique, so it is not possible to know credit usage ahead of time. The chat history menu will show the credits used for each chat, and the table below provides general guidelines for estimating usage.

Three or more credits |
If the AI assistant experiences a technical error when providing a response, credits will not be deducted from your account.
To prompt efficiently: Be specific in your requests, set a target output length, generate an outline before moving into a draft, and refine sections selectively by highlighting text. You should also consider using the AI prompt library to create prompts that are well defined and tailored to common tasks.
Manage AI credits in your account
From your billing settings (User menu -> Settings -> Billing), you can see the Aha! products you have access to and their plan type(s). You can also manage your credits in the AI credits section.
From here, you can see how many AI credits are:
Included in each billing cycle
Used so far (unused credits do not roll over to the new billing cycle)
Available for use
You can also purchase more credits, as well as monitor purchased credits:
Purchased
Used so far (purchased credits do roll over to the new billing cycle)
Available for use
Use this information to monitor how users in your account interact with AI capabilities, and make adjustments where needed. To see usage by individual user for the current billing period, go to the User menu -> Settings -> Users and review the AI credits used column.
Set credit limits for Aha! users
By default, AI credits are shared at the account level and available to all paid users. There are no default per-user usage limits unless you configure them. Typically, heavy usage by one user will balance out with lighter usage by others — so it is not recommended to estimate and apply limits without understanding usage patterns.
However, if you still want to control individual consumption, you can set credit limits. Default limits can be applied to all paid users or individually to specific users. You must be an administrator with account-level permissions to set these limits.
To set a default limit for all paid users:
Navigate to the User menu -> Settings -> AI controls -> AI usage credit limits.
Check the box to Set default AI credit limit per user to and select an amount.
Click Update AI credit limit to save your changes.
If a user is consuming a disproportionate amount of AI credits, you can assign them an individual credit limit. This overrides any default limit. You may also want to contact the user to understand how they are using the AI assistant, whether inefficiently or in ways that could benefit the broader team. You must be an administrator with billing permissions to set individual limits.
To set a limit for a specific user:
Navigate to the User menu -> Settings -> Users.
Search for and click on the individual user whose limit you want to adjust.
Under AI credits, check the box next to Set limit.
Enter a credit limit (remember that this is per billing term).
Click Save to save your changes.
Purchase more credits
If your account runs out of credits before the end of your billing term, you will not be able to create new prompts for the AI assistant (but you will be able to review your chat history). You will also not be able to use other key AI capabilities. Remember, however, that your credits will refresh at the start of the next billing period.
Billing administrators can also purchase more credits for the account to continue to use AI functionality. To do this:
Navigate to the User menu -> Settings -> Billing.
Under the AI credits section, click Purchase credits.
Enter a valid credit card to purchase a pack of 250 credits for $39. Of course, you can purchase multiple packs if needed.
Unlike your included in-plan credits, any credits you purchase here will not expire as long as your account is active.
