Connect with Zoom to automatically import meeting recordings and transcripts into Aha! Discovery after a meeting concludes. Configure admin settings in Zoom

To save and export video and transcriptions from Zoom, you must first enable cloud recording and transcripts for your organization. An administrator in your Zoom account can do this for you.

  • Sign in to the Zoom web portal as an admin. You will need permission to edit account settings to do this.

  • Click Account Management from the navigation menu and select Account Settings.

  • Click the Recording & Transcript tab.

  • Click the toggle next to Cloud Recording to enable it.

  • Under Advanced cloud recording settings, check the box next to Create audio transcript.

  • Click Save.

    • Note: You can also enable cloud recording and transcripts for a specific group or user.

Authenticate to Zoom

Authenticate to Zoom from your personal settings in Aha! Discovery to connect the integration:

  • Navigate to Settings ⚙️ -> Personal -> Meeting services.

  • Next to Zoom, click Link account.

  • Click to Allow Aha! Discovery the appropriate permissions.

Your Zoom account will now be linked. Click Unlink account at any time to unlink your Zoom account. This will not remove existing Zoom data from your Aha! Discovery account.

Use the integration

You can begin using the Zoom integration as soon as you link your account.

Before a meeting

Manual scheduling

If you schedule an interview with a participant manually and you want the recorded meeting to upload automatically:

  • Navigate to the interview.

  • Select [user name] (Zoom) in the Meeting host field. You can select yourself or another user who has integrated with Zoom.

  • Click Generate URL.

  • Send the URL to the participant.

Participant self-scheduling

If you use a scheduling page to allow participants to self-schedule, you will need to configure a Meeting host for your study's scheduling page. This ensures the integration will generate a meeting URL when a new interview is scheduled:

  • Navigate to your study and click Schedule.

  • In the Meeting link section, select Use automatically generated URL.

  • Select the person who will be hosting and recording in Zoom in the Meeting host field.

    • Note: Meeting hosts must be connected to Zoom and added to the study as a researcher to be listed here.

If you use a meeting URL that was not generated by the integration, videos and transcripts will not upload automatically to the interview in Aha! Discovery. Instead, you will need to export these files from Zoom and then import them manually.

You can click the generated meeting link from your interview record at any time to start the interview. Do not forget to record!

After a meeting

When your Zoom meeting concludes, the recorded video and transcript will upload to your interview's Details page as soon as they finish processing. It will take some time for Zoom to finish transcribing the interview and make the recording available. As soon as it is available, Aha! will upload it to your account.

A transcript will not automatically upload if one already exists in the interview record. If there are multiple recordings for an interview, only the first one will be uploaded.

The transcript will load in the main body of the interview's Details page. From here, you can manually highlight insights or use AI-powered transcript analysis (available in Aha! Discovery Advanced) to capture key learnings, analyze sentiment, and more.

The video will display in the upper-left corner of the interview's Details page. When you play the video, dialogue will be underlined in the transcript so you can follow along.
