From documenting processes to drafting user stories and product positioning, good writing is essential to building lovable products. You want to convey the right message in whatever you write. And sometimes creativity is a conversation — working through multiple drafts with a patient editor to help you find the right phrasing.

The AI assistant supports you in creating clear, polished content in the right tone — so that you can communicate effectively without spending extra time and effort. Use AI to refine user stories, generate use cases, summarize long passages, draft support articles, and more.

The AI assistant is built into the Aha! text editor. Use it to draft or improve content in any note, record description, or comment across your Aha! account.

Your account data will not be used to train the AI model.

Enable the AI assistant

The AI assistant is enabled in your Aha! account by default. If you are an account administrator, you can disable it for all users in your account settings. Disabling AI drafts in the text editor for your account removes the sparkle icon from your text editor toolbar.

  • Navigate to Settings ⚙️ -> Account -> Security and single sign-on -> AI control

  • Use the checkbox next to Enable AI drafts in text editor to enable or disable AI drafting.

  • Click Update AI security to save your changes.

Draft text with the AI assistant

Generate clear, impactful content in a fraction of the time it would take to do manually. Use the AI assistant to craft initial drafts of emails, product updates, user stories, feature descriptions, and blog posts, then make edits to refine your message.

To get started, click the sparkle icon in the text editor toolbar. The AI chat modal will open in the right side panel. From here, begin the chat by telling the AI assistant what you want it to do:

  • To generate new content, enter a prompt describing what your want the AI assistant to product. Then and press Enter.

  • To refine existing content, highlight the text you want to refine before entering your prompt. If you do not highlight text, the AI will analyze all existing text in the document for its output.

    • You can use any of the three shortcut options (Outline, Draft, or Refine, Summarize, or Expand) to quickly prompt the AI to make improvements.

  • To apply AI assistant instructions that you have saved for your workspace, click + and select Instructions. Then choose from any of the AI instructions you have saved for your workspace to drive consistency in the AI's output. You can apply multiple instructions to your prompt as appropriate.

After you submit your prompt, the AI assistant will begin drafting in the right side panel. When it is complete, you have more options:

  • Click Insert to enter the generated text.

  • Click Ignore to discard the generated text and prompt the AI assistant to perform the action again.

  • Enter a second prompt telling the AI assistant what changes you want it to make.

Once you have inserted the AI-drafted content, use the text editor to make changes to improve accuracy or stylistic choices.

Identify your audience and the length of the piece you are writing. The more specific you are about what you are working on in your prompt, the better the results you will get.

After you have drafted content with AI a few times, you will get a deeper understanding of which types of prompts work best for you. You can reuse prompts that work for you consistently and edit them for new purposes. Select the sparkle icon and click Previous prompts in the lower right corner. The last four prompts you used will populate. Click Use next to the prompt you want to reuse and edit it to suit your purpose.

Add AI instructions

As you continue to use the AI assistant, you will discover best practices for how your team can get the most value from it. Create a library of the AI instructions that work well for you — so your team can reuse them to consistently generate clear, effective user stories, product positioning, customer communications, blog posts, and more. Instructions provide context for the AI assistant so it can best match your brand voice and style, speak to your target audience, and generate content in your preferred format and target length.

  • Navigate to Settings ⚙️ -> Workspace -> Knowledge -> AI agents and instructions. If you already have the Draft with AI side panel open in a document, comment, or record description, you can click + and select Instructions, then click New custom instruction to get here as well.

  • Click Add agent.

  • Enter a Name.

  • Next to Type, select Instruction.

  • Type or paste your instructions into the Prompt field. Then click Create agent.

If you want the AI assistant to have additional capabilities outside of generating text, such as searching the web or reading records in your workspace, consider creating a custom agent that has those capabilities.

Best practices

It may take several tries to get the results you want from AI. As you use it more frequently to draft different types of content, you will learn which types of prompts work best to get the output you are looking for. Follow these best practices to get more predictable and useful results from AI.

Goal-first

What do you want AI to help you achieve? The deeper your understanding of what you want to write, the better you can direct AI to produce the results you are looking for. Your goals will help inform what your target tone and style will be — so you can include this in your prompt and get results that convey the right message.

Identify your audience

When prompting AI to generate or improve text, provide your intended audience in your prompt. This helps AI tailor a relevant message that resonates. Identifying your audience will also assist AI in determining the appropriate language and terms to use.

You can take it further and include perspective in your prompt as well — tell AI who is speaking in your written piece. This helps you refine the voice in your generated text.

Be specific

Tell the AI assistant exactly what you are writing and what you need to include. This gives it a clear goal to work towards. If your prompt is vague, the generated text may not be relevant or accurate. But if you include specific details in your prompt, the generated content is more likely to be appropriate and effective.

Experiment and iterate

By testing different instructions and analyzing the results, you can identify what is most effective in providing the results you want. This is especially important when you want AI to produce content that adheres to your brand voice and tone. Once you learn through trial and error which instructions achieve the right results, you can use them again in the future.

Save instructions for reuse

Once you have a deep understanding of what consistently produces the best results from the AI assistant, add AI instructions to your workspace settings so you can use them again and again.

Document best practices for your team

As you get more comfortable using AI, document what works for you. Then educate and align your team on how to get consistent, quality results. When you onboard new teammates, provide them with your best practices so they will have a resource to help them understand the standards for using AI at your organization.
