Many customer conversations happen in HubSpot. Sales, marketing, and support teams use it to record important details about every interaction. Product managers rely on this context to determine which ideas to prioritize next. The Aha! Ideas + HubSpot integration connects these workflows so you can capture ideas from HubSpot, link them to customer and revenue data, and keep everyone informed as ideas progress.

In this article, you will learn how to set up the integration and use it to capture feedback from HubSpot into Aha! Ideas.

Ideas and proxy votes are captured from HubSpot and transferred to Aha! Ideas. Idea status and selected organization data can sync from Aha! Ideas back to HubSpot.

In HubSpot, a user who installs and authorizes the app must have access to the app marketplace and permission to view companies, deals, and tickets.

Overview

The Aha! Ideas + HubSpot integration brings customer feedback from HubSpot into a central place where product managers can prioritize ideas. When this integration is enabled:

  • HubSpot users can create and link Aha! ideas directly from HubSpot company, deal, and ticket pages.

  • Each link creates a proxy vote on the idea in Aha! Ideas and associates it with the relevant HubSpot record.

  • Product managers can see which companies, deals, and tickets support each idea.

  • Organization data such as industry or annual recurring revenue (ARR) can sync from HubSpot to Aha! Ideas to inform prioritization.

  • Idea status updates in Aha! Ideas can sync back to HubSpot so customer‑facing teams see the latest progress on linked ideas.

Add the HubSpot integration in Aha! Ideas

To create a new HubSpot integration:

  1. In Aha! Ideas, go to the User menu -> Settings → Account.

  2. Click the + icon next to Integrations.

  3. Select HubSpot from the list of available integrations.

Follow the guided steps:

  1. Start

    • Give your integration a clear Name, such as "HubSpot: Ideas capture."

    • Click Save and continue.

  2. Authorize

    • Click Authenticate.

    • Sign in to HubSpot with the same administrator account used to install the Aha! Ideas app.

    • Grant access when prompted.

    • Click Save and continue.

  3. Capture ideas

    • Enable Capture ideas from HubSpot.

    • Select the ideas portal HubSpot users will use when they create or link ideas.

    • Choose whether to show the proxy vote form. This form allows HubSpot users to add deal or ticket context when they support an idea on behalf of a customer.

    • Click Save and continue.

  • Mappings

    • Configure mappings between Aha! Ideas records and HubSpot objects.

    • Link Organizations (Aha! Ideas) to Companies (HubSpot).

    • Configure field mappings to sync company and deal data that matter to your team.

  • Enable

    • Click Enable integration.

If you see a message in HubSpot that the app is unverified, you can still connect. The app has been through extensive testing, but we are waiting on the HubSpot team to approve it for the marketplace.

Configure the app in HubSpot

After you set up the integration in Aha! Ideas, add the Aha! Ideas card in HubSpot so teams can capture and link ideas.

  1. In your HubSpot settings, go to Connected Apps.

  2. Select Aha! Ideas and click Manage locations on the App cards tab.

  3. For each location, click the Customize option.

  4. Add the Aha! Ideas card to the layout.

  5. Remove any Ideas association cards that might have been added automatically.

Repeat this process for every object type where you want HubSpot users to capture and link ideas.

Capture ideas from HubSpot

Once you complete the setup, HubSpot users see an Aha! Ideas panel on the HubSpot records you configured. The panel shows linked ideas and provides controls to create or link ideas from HubSpot.

HubSpot users

On a company, deal, or ticket in HubSpot, a user can:

  • Click Capture idea on the Aha! Ideas panel.

  • Search for existing ideas using keywords.

  • Filter and browse ideas to find the right match.

  • Link a HubSpot record to an existing idea when the request already exists.

  • Create a new idea when no current idea represents the feedback.

  • Optionally, fill in proxy vote fields you configured (such as deal value or expected close date).

Each action creates a proxy vote on the idea in Aha! Ideas and links the HubSpot record to that idea. This connection preserves the relationship between the feedback, the customer, and any related revenue.

Aha! users

In Aha! Ideas, contributors and product managers can:

  • View all ideas created or linked from HubSpot.

  • See which companies, deals, and tickets support each idea.

  • Analyze ideas using organization fields such as ARR, industry, or customer segment.

  • Use this context to prioritize ideas that represent significant customer or revenue impact.

  • Update idea status as work progresses and share progress with HubSpot users.

As idea status changes in Aha! Ideas, the latest status appears in the Aha! Ideas panel in HubSpot. This helps customer-facing teams stay current when they speak with customers.

Map HubSpot company data to Aha! organizations

Mapping HubSpot company fields to organizations in Aha! gives you more context in Aha! Ideas. It also allows you to understand which customers are associated with each idea.

To configure organization mappings:

  1. In Aha! Ideas, navigate to the User menu -> Settings → Account → Integrations.

  2. Open your HubSpot integration.

  3. Go to the Mappings step.

  4. Under the Organizations -> Companies link, click Field mappings.

  5. Map the Aha! organization Name field to the appropriate HubSpot company field so that records stay aligned.

  6. Map additional fields to enrich organizations in Aha! Ideas. Examples include:

    • ARR

    • Industry

    • Region

    • Customer segment

    • Account owner

You can also add custom fields to your organization layout before you map them.

Consider these options:

  • Proxy votes

    • Add custom fields to the Idea proxy votes layout to capture more context from HubSpot deals or tickets, such as impact area or renewal risk.

    • Align these fields with your HubSpot deal fields so every proxy vote includes rich business information.

  • Ideas portals

    • Configure a private ideas portal exclusively for your HubSpot integration.

    • Configure a custom idea submission form for your HubSpot portal.

    • Use custom fields to gather structured information from internal teams.

    • Keep the form focused so HubSpot users can submit ideas quickly.

  • Automations and notifications

    • In HubSpot, set up workflows or reports that call attention to ideas with specific statuses (such as Planned or Shipped).

    • Use these views to help sales and support teams follow up with customers when you deliver requested functionality.
