Schedule tasks with Elle

Aha! Suite

It is easy for recurring product work to slip when you are focused on a launch, customer request, or planning decision. Scheduled tasks let you assign that work to Elle (the AI assistant) on a schedule you choose — so you can review what matters without starting from scratch each time.

Overview

A scheduled task is a repeatable assignment you give Elle. Each task includes a name, description, instructions, and schedule. After you save it, Elle can return to that work automatically based on the schedule you set.

Scheduled tasks are personal to each user and are not shared with other users. You can run a task hourly, daily, weekly, or monthly, depending on how often the work needs to happen.

Scheduled tasks work well for repeatable work, such as:

  • Summarizing new customer ideas every Monday

  • Flagging overdue features each morning

  • Refreshing your weekly planning note every Friday

Elle can also use skills to follow guidance you have already defined.

Scheduled tasks use your permissions. They can take only actions that you can take manually.

  • Elle cannot delete records through scheduled tasks.

  • Elle pauses for your approval before creating a record, updating data, or adding a comment.

  • If a task is still in progress, the next scheduled run is skipped.

You can review task results in chat. When a scheduled task finishes, Elle sends a notification with the task name and a link to its result.

Create a scheduled task

Create and schedule tasks from your personal AI capabilities settings:

  1. Go to the User menu -> Settings -> Personal -> AI capabilities.

  2. On the Scheduled tasks tab, select Add scheduled task.

  3. Enter a Name and Description for the task.

  4. In Instructions, describe what you want Elle to do when the task runs.

  5. Select the Skills you want Elle to use when completing the task. If you do not select any, Elle can use all skills available in your personal AI capabilities settings.

  6. In the Schedule section, choose how often you want Elle to run the task. Then, select a Time zone.

    • You can schedule a task to run hourly, daily, weekly, or monthly.

      • Hourly: Runs every hour at the selected minute and time zone

      • Daily: Runs every day at the selected time and time zone

      • Weekly: Runs once a week on the selected day, time, and time zone

      • Monthly: Runs once a month on the selected weekday occurrence, time, and time zone

Your changes save automatically. New scheduled tasks are enabled by default. To disable a task, open its More options menu.

Approve a task

Elle pauses when a scheduled task needs your approval before it can create a record, update data, or add a comment.

To review and approve the changes:

  1. Go to the My work page.

  2. Find the chat with a blue dot. The dot indicates that Elle is waiting for your input.

  3. Continue the chat to review Elle's proposed changes and approve or revise them.

You can also see when a task is waiting for your input in its Log tab. The task run has a Needs review status until you continue the chat.

Run a task manually

Scheduled tasks can run automatically on the schedule you set. You can also run a task manually at any time. There are two ways to do this:

  • Go to your scheduled tasks (User menu -> Settings -> Personal -> AI capabilities -> Scheduled tasks) and select the Run now button.

  • Open a chat and ask Elle to run the task.
