Team templates

Aha! Develop

High-performing teams do not just happen — they are built on shared processes and consistent standards. When multiple Aha! Develop or Aha! Teamwork teams follow the same workflows, terminology, and automation rules, they can collaborate more effectively. Team templates let you standardize team-level settings — including workflows, layouts, document templates, and automation — and apply them across multiple teams in your account. This way, every team starts from the same foundation and stays aligned as your organization grows.

Note: You need to be an administrator with customization permissions to create and manage team templates.

Create a team template

To create a new team template, navigate to User menu -> Settings -> Account -> Team templates.

From this page, you can see all the existing team templates in your account. Click Add team template to create a new one.

  • You do not have to create a team template from scratch. If you already have a team in your account configured for your needs, open the Copy from dropdown and select it.

  • Name your team template. If you intend to create multiple team templates, give each one a unique name.

Click Create team template when you are finished. Once you have created your template, click on its name or the Edit button to configure it. Click the More options button to Copy or Delete it.

Configure your template

Click on any team template to configure it. This opens the Team template editor. The editor walks you through all the team-level settings you can templatize, organized by settings category. Click on any settings category to get started.

The settings categories available in a team template include:

  • Configure: General team configuration settings.

  • Terminology: Customize the names of record types used in the team.

  • Navigation: Control which menu items are visible in the team.

  • Document templates: Add note and document templates for the team.

  • Automation: Create automation rules to streamline repetitive work.

  • Approval groups: Define approval workflows for the team.

  • Individual capacity planning: Configure capacity settings for individual team members.

  • Team capacity planning: Configure capacity settings at the team level. Available when enhanced capacity planning is enabled in your account.

  • Delivery risks: Set up delivery risk configurations for the team.

Generally, any setting you configure at the template level will be applied in each team using the template. There are a few nuances to note:

  • There is a lock toggle to the right of most settings. If you leave a setting unlocked, then team owners can change the setting in their individual teams. If they do change the setting, future template updates will not be applied to that setting in that team. If you lock a setting, team owners will not be able to change it. In either case, the setting defaults to the configuration you select in the template editor.

  • Document templates and automations are additive when you apply them to a team. For example, you can create note templates at the template level so that each team has access to a consistent set of templates. Individual team owners can also create their own document templates to complement the ones inherited from the team template.

  • Workflows will not overwrite existing team settings when you initially apply a template to a team.

  • Some settings depend on other team configurations. For example, an automation rule that depends on a particular custom field will not run in a team that does not have that custom field in the appropriate custom layout. A default assignee will not be assigned if your chosen user does not have access to a given team. In these cases, the team template will not be applied to settings it cannot resolve.

When you have configured the template to your liking, click Review changes.

Review your changes

The Review changes step shows you a list of Current template settings and the New template settings that will be applied when you complete the template editor.

Scroll through the list of proposed changes and make sure they are correct, and that they should be applied to every current or future team that adopts the template.

  • In addition to the settings themselves, check to make sure the right settings are locked or unlocked.

  • New template settings surrounded in red and containing warning ⚠️ icons indicate settings changes that cannot be undone if applied. For example, changing a team's default workflow could have significant downstream effects. Review these carefully before applying.

  • If you want to make further changes, click the settings categories on the left side of the template editor or click Back to return to the configuration step.

At the top of your screen, you can see a list of teams that your changes will impact. Teams that you do not have access to are still counted in this total, even if you cannot see their names.

Apply your changes

When you are ready to apply your template, click Apply changes in the upper right. Applying a template automatically updates the settings in all teams linked to that template.

While you need to be an administrator with customization permissions to create a team template, you must be an owner in any team that uses the template to apply changes to that team.

Apply a template to teams

To apply your team template to a new or existing team, navigate to User menu -> Settings -> Account -> Teams. You will need to be an administrator with customization permissions to do this.

  • Click Add team at the top of the page. Choose your team template from the Team template dropdown, then click Save team to save your changes.

  • Click Edit beside any existing team. Choose your team template from the Team template dropdown, then click Save team to save your changes.

Any future updates to your team template will be applied to the teams you select.

All settings — regardless of lock or unlock status — will be applied except those which can alter fundamental data, like workflows. You will need to manually update those settings in each team.
