Custom domain for portal emails

Custom email domains for ideas portals are included in the Aha! Ideas Advanced plan.

By default, emails from your ideas portal are sent from an Aha! managed domain. You can set up a custom email domain so customers see a sender address on your company’s domain, such as ideas@yourcompany.com or support@yourcompany.com.

This can make portal emails feel more familiar to customers and help support email delivery. Aha! will keep using the default sender until your custom domain is fully verified.

Update your portal settings

You will need help from the person on your team who manages DNS records for your company’s domain to set up a custom email domain for your portal.

Go to the portal settings for the ideas portal you want to update. You can navigate to Ideas -> Overview and select the pencil icon in the upper right next to the portal to access its settings. You will need administrator permissions to do this.

In your portal settings:

  1. Go to Emails → General.

  2. In the Custom domain section, select Add custom domain.

  3. Enter the sender address you want customers to see.

  4. Copy the DNS records that Aha! provides in your settings.

Your portal will continue sending email from the Aha! domain until setup is complete.

Configure DNS settings

Send the DNS records to the person on your team who manages your DNS settings. Ask them to add each record exactly as shown.

These records are used for DKIM authentication. DKIM lets receiving mail servers verify that messages sent from your domain are authorized and have not been changed in transit.

Verify your custom email domain

After your DNS records are published:

  1. Return to Emails -> General in your portal settings.

  2. In the Custom domain section, select Verify domain next to the domain you want to use.

If the records are correct, Aha! Ideas will verify the domain and start sending portal emails from your custom sender address.

If verification is incomplete or the DNS records are missing or invalid, Aha! Ideas will continue sending emails from the default Aha! domain until the issue is resolved.

Use a verified domain in other portals

After you verify a custom email domain, you can use it in other ideas portals in your account. This saves time if you manage multiple portals that should send from the same company domain.

If you edit or remove a custom email domain that is already in use, the change can affect more than one portal.

Troubleshooting

If your domain does not verify:

  • Confirm that your DNS records were added exactly as provided

  • Wait a few minutes if the records were added recently, then try again

  • Reopen the custom email domain settings to review the DNS entries

Until verification succeeds, emails will continue to send from the default Aha! domain.
